This position is instrumental in supporting the programs team to achieve care and support goals and metrics, which include increasing the reach of care and support programs through volunteer-powered program delivery, community mobilization and health systems initiatives. The position provides excellent customer service to the internal team and external constituents, tracks progress and data through regular reporting and tools, manages collateral and supplies, and executes communications to program participants and volunteers. In partnership with the Program Director, the Program Operations Specialist will develop new strategies and processes for streamlining and centralizing the needs of care and support programs. Based in
Indianapolis, Indiana, the position supports the work of the Greater Indiana Chapter.

* Work closely with Program Managers to provide exceptional service internally with staff and volunteers, and externally with program participants
* Handle incoming calls, emails and the 24/7 Helpline queue to ensure the highest quality of service and timely response
* Handle incoming clinical referrals, enter data and assign follow-up to team members
* Update local resources in the Community Resource Finder to ensure staff and program participants have access to current, accurate community resources
* Manage the Personify CRM and the Volunteer Management System, serving as the Chapter’s super-user for each system and fully utilizing all aspects of these systems to support programmatic goals
* Conduct data entry, data collection and data organization for the programs team, meeting organizational standards
* Analyze service data to identify gaps in delivery and opportunities to strengthen volunteer engagement
* Collaborate with the programs team to develop an run reports for staff and volunteer use, including event registration reports, reach and service data, and strategize new reports to inform program plans
* Develop constituent communications for program participants and program promotional efforts, including email communications, web page content, brochures, flyers, and community calendars
* Manage collateral fulfillment, distribution and inventory processes including securing bids, vendor management, placing orders, and taking inventory
* Work with Program Director and programs team during annual budget process
* Work with Program Director and programs team to improve and implement Chapter processes
* Recruit, train and manage office and information/referral volunteers to support the work of the programs team and constituents
* Coordinate programs team meetings/calls in conjunction with Program Director, compile meeting notes, communicate action steps to team, and assist with information and task follow-up as assigned
* Conduct logistics for program team gatherings, including strategy meetings, retreats, volunteer trainings, and annual Leadership Summit travel for staff/volunteers
* Support the programs team with other duties as assigned

* High school diploma required, additional education preferred
* At least two years of professional experience in administrative or operations role
* Ability to bend, lift, stoop and transport up to 25 lbs. of materials
* Exemplary computer skills, proficient with Microsoft Office products, Google suite and; experience with, or ability to rapidly learn the Personify CRM database and volunteer management system
