Full time based off of 37.5 hours week, paid hourly

Position Summary:

The Program Assistant supports and assists key staff across multiple programs and services for persons with Alzheimer's disease and their families and caregivers. Programs supported include caregiver support groups, education, conferences and may include other tasks not included on this list.
 Duties include administrative support and preparing and maintaining large amounts of written materials, electronic information and program data. The Program Assistant also provides customer service and assists support group facilitators.


Essential functions and responsibilities include, but are not limited to:

Supports day-to-day operations, including:

  • Maintains support group records and program data in Personify and PVC
  • Fulfills support group facilitator and attendee resource requests
  • Communicates with support group facilitators and provides customer service as needed
  • Assists with technical acumen for program/services volunteers
  • Update Alzheimer’s Association Program Volunteer Community (PVC) pages for programs and services with current offerings, resources and announcements to volunteers
  • Provide monthly report of program/services activity utilizing Personify and the PVC
  • Assist with managing the program operations email inbox with inquiries as they come through
  • Ensure timely data entry for program activities is accurately entered into Personify
  • Maintains and ensures volunteer community boards are up to date with accurate information

Produces, edits, maintains and assembles documents, including:

  • Works closely with the Community Outreach Managers for general correspondence and emails from Support Group Facilitators
  • Training and procedural materials
  • Letters and mailings to support group facilitators
  • Assists with program/services monthly class flyers as needed

Assists with production and distribution of monthly facilitator resource packets:

  • Literature research
  • Writing and editing of cover letters
  • Copying/organizing materials, collating and mailing
  • Organizes volunteer involvement with monthly packet (with help of Volunteer Coordinator)

Coordinates, schedules and assists with support and outreach efforts:

  • Crafts and updates promotional materials including: press releases, PSAs and flyers
  • Researches/updates outreach contacts
  • Distribution/organization of information and promotional activities
  • Produces and tracks mailings
  • Assists with volunteer recruitment outreach
  • Assists with regional and community conferences, education and special projects as needed:
  • Proofreads/edits promotional materials for regional and community conferences
  • Assists Conference Manager with administrative tasks leading up to conference(s)

Supports Program Coordinators and Directors:

  • Coordinates projects and work flow
  • Provides back up Main telephone support
  • Communicates with individuals, agencies and community organizations as needed
  • Other duties as assigned, including but not limited to participation in chapter and advocacy events.

  • Participate in the Walk to End Alzheimer’s Staff Team and “Give or Get” fundraising goals
  • Work at least one Walk on a weekend


  • Bachelor’s degree (or equivalent experience), in health care management, social work, psychology, counseling, communications, english, marketing, business, business administration, gerontology or related field preferred
  • Experience working with aging populations a plus
  • 3 years administrative experience in a fast-paced environment

Knowledge, Skills and Abilities

  • Excellent research, writing, and editing skills
  • Customer-focused attitude and experience
  • Excellent program management skills, including administrative and database-related skills
  • Proficiency with MS applications including Word, Excel, PowerPoint and Publisher
  • Ability to effectively organize, prioritize and schedule multiple priorities and to meet deadlines
  • Ability to communicate effectively with volunteers, staff and community organizations
  • Able to manage projects independently and report outcomes effectively
  • High level of integrity, diplomacy, and initiative
  • Ability to work effectively with diverse populations
  • Ability to operate a computer and other designated office equipment
  • Ability to work some evenings and weekends as required by the job
  • Must possess valid driver’s license, access to a reliable vehicle, and proof of insurance
  • Ability to bend, stoop and lift a minimum 20 lbs.
