Job Description

 

 

The Financial Operations Coordinator at the Home Office of the Alzheimer’s Association will be responsible for managing board and committee communication and logistics, finance policies and procedures, and daily finance operations.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Manage communication and logistics for all materials for the Investment Subcommittee, Budget Subcommittee, Finance Committee and Audit Committee.
  • Manage all Finance Policies and Procedures to ensure they are updated and reviewed each fiscal year.
  • Collect and prioritize emails and documentation (including ACH forms) to be reviewed/signed by the Chief Financial Officer.
  • Ensure all Finance and Donor Services information is updated on The Hub, the Association’s internal resource website.
  • Assist with the creation and maintenance of department onboarding and financial literacy materials.
  • Maintain a Finance and Donor Services annual calendar for all compliance due dates, Board-related meeting dates, internal related meeting dates, report dates, etc.
  • Act as project manager for:
    • Finance or Donor Services Workgroups pertaining to strategic priorities,
    • Any departmental meetings (e.g. Annual Planning Meeting, Annual Finance and Donor Services Retreat, etc.), and
    • Vendor Request for Proposals.
  • Distribute finance mail received at the Home Office.
  • Process Finance and Donor Services invoices for payments and expense reports for the CFO.
  • Completion of census reports, state sales tax filings and state sales tax exemption forms.
  • Assist with banking user administration and supply orders, as needed.
  • Update staff allocations in UKG, as needed.
  • Work with chapter Finance staff to determine any asset disposals in conjunction with office closures.
  • Special projects for the CFO and VP, Accounting and Financial Reporting.
  • Performs other duties as assigned.

 

REQUIRED KNOWLEDGE/SKILLS/ABILITIES 

  • Excellent verbal, written and organizational skills to communicate in person or virtually.
  • Must be detail-oriented and able to review documents and email correspondence for content.
  • Must be expert or have mastery level skills with Google Suite (e.g. Gmail, Calendar, Docs, Sheets) and Microsoft Office Suite (e.g. Excel, Word, PowerPoint). In addition, must have proficiency with videoconferencing technologies with the ability learn new software quickly.
  • Experience with expense reporting and accounts payable procedures.
  • Ability to work independently, and collaboratively plan projects and meet deadlines.
  • Ability to develop and maintain relationships with internal and external constituencies and communicate with people at all levels of the Association.

 

REQUIRED EDUCATION AND EXPERIENCE 

  • High School diploma or equivalent; Bachelor’s degree preferred or equivalent combination of education and work-related experience
  • 5 years of experience supporting an executive or team
  • Experience working with and communicating to Board of Directors and committees
  • Previous experience in fast paced office

 

PHYSICAL REQUIREMENTS: Must be able to lift up to 15 pounds at times.

Location: US Based Remote

Full time of Part time: Full Time (37.5 hours p/wk)

Grade: 506 Non Exempt

Estimated Salary Range: $32.00 - $38.00 p/hr

Reports To: VP, Accounting and Financial Planning
