Position Summary:

The Executive Assistant to the Area Executive Leader provides direct, high-level executive support. This position requires the ability to provide executive support to a leader of 25 states and over 600 staff, with utmost professionalism, poise, tact and diplomacy.  The incumbent will have access to various kinds of sensitive information and must have a high commitment to confidentiality.

This is a full-time position reporting to Area Leader, East Area. Availability to work/be responsive to emergent needs outside traditional business hours, from time to time is required.

Responsibilities

Essential functions and responsibilities include, but are not limited to:

  • Manage all aspects of the Area Leaders calendar, including but not limited to arranging meetings, registration for external meetings and conferences, arranging, tracking and adjusting travel details and ensuring all expenses are appropriately accounted for.  Ensure the Area Leader and all relevant participants have materials and information required for meetings, including ensuring that any appropriate preparation with other members of staff has taken place prior to meeting. 
  • Communicate with, and arrange phone and in-person meetings with key stakeholders requiring travel and coordination in various domestic US locations. 
  • On behalf of the Area Leader, manage correspondence and communications, including reviewing and tracking key emails and ensuring response as appropriate (either by drafting on behalf of the Area Leader, ensuring their visibility and response, or sharing with others, working proactively with other partners to proactively track priority communications to field and home office partners).
  • On behalf of the Area Leader review and recommend for approval expenses for all direct reports, consistent with the Association’s policies. 
  • Serve as a conduit between Area and Home office; develops strong relationships with home office partners (training, HR, IT, finance, real estate, legal, contract management, etc.) to identify, implement, support and track best practices. Partner with home office associates to meet information requests, report issues and lead steps to resolution on items impacting the field. 
  • Manage projects related to Area/Region
  • Actively participate in trainings and communication with other administrative staff in the field and at the Home Office
  • Maintain and regularly update the Area Leader resources, including staff directory and contacts.
  • Coordinate with Conference Services departments and others as appropriate to arrange and communicate to participants details for meetings organized and hosted by the Area Leader.  As needed and requested, assist in meeting preparation and follow up, including but not limited to production and distribution of meeting materials and attendance tracking.  
  • In coordination with Finance and Accounting prepare and manage the Area Leader budget.
  • Assist in the management of HR processes, PTO requests, staff evaluations, etc.
  • Ensure the Area Leader receives standard reports and pulls report and data as needed, following up on items of concern, bringing those to the attention of the Area Leader
  • Additional support as required.

 

Qualifications:

  • Bachelor’s degree or equivalent experience
  • 7 – 10 years of experience supporting an executive, and some project management experience is preferred.  

 

Knowledge, Skills and Abilities 

  • Refined verbal and written communication skills; strong attention to detail
  • Ability to build strong relationships and to become a trusted resource
  • Computer literacy including Microsoft Office suite and Google applications; ability to type upwards of 50 wpm
  • Familiarity with booking domestic and international travel as well as expense reporting systems (we currently use Concur).
  • Ability to exercise discretion in verbal, written and in person interactions with other Association executives, staff
  • Ability to work outside traditional business hours as needed e.g. for emergent business and leading up to/during meetings
  • Ability to travel overnight 2-3 times per year
  • Strong commitment to confidentiality
  • Ability to make sound administrative decisions and judgements of sensitive, confidential issues.
  • Tolerance for stress, calmness under pressure and ability to prioritize and switch focus as needed
