General Summary


The primary purpose of the Chapter Administrator is to support Chapter and day to day operations and events as directed


Essential Job Functions


Perform day-to-day administrative support for the general Chapter administrative needs


Support the Development Team with the special events and development activities to include but not limited to Walk to End Alzheimer’s, The Longest Day, Galas, Golf Tournaments and RivALZ


Learning and using data entry platform, Convio and Personify


Maintain local processing for all Chapter monies received


Manage staff SDOL, Concur, Payment Requests and Egencia to ensure timely reporting and submission of reports


Maintain files for Chapter grants


Maintain and manage event(s) insurance; contracts, invoices, reports and all other required documents for Chapter events including running Convio reports; sending out emails; making phone calls, or following up on messages received


Assisting with planning and implementing wrap around events and tracking RSVP for upcoming events


Preparing and working with volunteers for tabling events


Assisting with any day-to-day logistical and administrative needs for (5) Walk to End Alzheimer’s locations across the West Texas Chapter service area as directed


Support development activities in four regional offices as directed to include but not limited to assisting with any day-to-day logistical and administrative needs for (5) Walk to End Alzheimer’s locations across the West Texas Chapter service area as directed


Maintain office filing system and online databases, assisting with data base entry


Manage and place office supply orders, SHOP orders for Walk to End Alzheimer’s and The Longest Day and ascertain required approvals for all purchases as directed


Maintain and code payment requests and vendor payments to ensure timely submission of payment requests


Assist with budget reports and expense planning


Ensure timely deposits and posting of deposit batches according to Association policy by working with Donor Services, Region lead, and Chapter staff


Manage daily administrative tasks including but not limited to mail, answering phones


Assure compliance with Alzheimer's Association policies, standards and regulatory requirements 


Other assignments as requested by the Executive Director

Minimum Requirements


Bachelor's degree preferred


Two years of office administrative experience


Finance or bookkeeping experience


Knowledge of CRM (Personify) helpful


Two years' experience with Microsoft Office, including Word


Ability to lift 50 pounds


Professional personal demeanor and presence in person and via telephone, recognizing role as the initial "face and voice" of the Association


Punctuality with an appreciation of the impact of effective coverage to the success of the Association


Superior self-management skills, as independent initiative and ability to collaborate are essential
