Job Description

This position is responsible for event fundraising management, volunteer cultivation and management, and overall strategic planning for all aspects of Chocolate Sunday, the Chapter’s annual gala event and its related wrap-around activities.

This position will be responsible for managing the activities of volunteer event leaders, including but not limited to: volunteer committee recruitment/management; donor engagement and stewardship; sponsorship outreach and follow up; financial, budget and fundraising management and strategy; venue and vendor contract negotiations/coordination and onsite event staffing and execution. This position will partner with Chapter leadership and staff, and home office staff, to develop, manage and implement the strategies, plans and activities necessary to achieve a successful Chocolate Sunday event. 

Responsibilities

Essential functions and responsibilities include, but are not limited to:

  • Responsible for volunteer recruitment, training, coaching, and partnership to achieve revenue goal. Build high-level relationships within the Indianapolis executive and philanthropic community to cultivate and grow volunteer leadership for the gala.
  • Responsible for all aspects of the gala program - developing, managing and implementing the annual strategic plan and budget for a successful campaign.
  • Prospect, cultivate and steward gala sponsors and donors via volunteer networks to identify prospects, create proposals, fulfill benefits and steward sponsors and donors year-round.
  • Build and maintain year-round relationships with key volunteers, donors, sponsors and community leaders as well as existing and new corporate partners and donors.
  • Collaborate and manage Chapter resources proactively to maximize success by including leadership (relationship prospecting, cultivation and engagement, overall event planning and strategy, volunteer and donor management); communications (messages, materials and timing); and operations (revenue tracking, sponsor and donor collections, logistics support/fulfillment, etc.).
  • Oversee, manage and implement event logistics and daily administration, including but not limited to: facilities, décor, catering, entertainment, supplies, attendee tracking and communications, etc.
  • Manage vendors and any temporary staff position that supports relationship events including, but not limited to hotel, a/v, event software (GiveSmart), seasonal support staff and any other support staff responsible for event execution, gift processing, and other administrative duties.

Qualifications

  • Bachelor's degree or higher
  • 3+ years in relationship management, corporate fundraising, volunteer management, and scalable event planning with demonstrated success in each.

 

Knowledge, Skills and Abilities

  • Experience developing, growing and managing large-scale special events including working and cultivating relationships with sponsors, donors and high level volunteer leadership; ability to establish relationships and collaborate with sponsors, vendors, leadership and colleagues; and proven success in volunteer/committee recruitment, guidance and management.
  • Project management skills, including demonstrated ability to manage complex projects with multiple and competing deadlines; exceptional written and verbal communication with attention to detail; strong work ethic and ability to multi-task in a fast-paced environment.
  • Ability to work independently, to work under supervision, to proactively manage up regularly with leadership, and collaborate with peers in a goal-oriented environment.
  • Knowledge of local and nationwide gala fundraising trends.
  • Proficient in Google suite, Zoom, fundraising and database software (eg, GiveSmart and Team Approach), other online applications and/or willingness to learn new programs.
